Trucking Safety Assistant

This is an excellent opportunity for a detail-oriented and proactive individual to support our safety and compliance initiatives and contribute to a strong culture of safety. Responsibilities – Workplace Safety and Compliance
- Assist with monitoring and maintaining records of safety-related documentation, including driver qualification files, incident reports, training records, and inspection logs.
- Conduct regular audits of safety and compliance paperwork to ensure all files are current and accurate according to company and industry standards.
- Coordinate with team members and drivers to collect missing documents and resolve any discrepancies in safety records.
- Support incident reporting by gathering initial facts, documentation, and ensuring proper reporting processes are followed.
- Help organize and schedule safety trainings, certifications, and employee safety communications.
- Ensure the confidentiality of sensitive safety and compliance information at all times.
- Generate and distribute regular reports on safety metrics and compliance status for review by leadership.
- Maintain up-to-date knowledge of relevant safety regulations and best practices in the trucking and logistics sector.
Required Qualifications – Safety Assistant Role
Experience
- 1-2 years of administrative or safety-related work experience, preferably in trucking, logistics, or a similar setting.
- Familiarity with safety regulations and DOT compliance is a plus.
- Experience using document management systems or safety/compliance tracking software is preferred.
Skills
- Exceptional attention to detail and organizational skills.
- Clear written and verbal communication abilities.
- Professional and collaborative approach when working with team members and external partners.
- Ability to handle confidential and sensitive information responsibly.
- Proficiency in MS Office Suite (Word, Excel, Outlook); experience with document management tools is a plus.
- Strong time-management skills and ability to meet deadlines.
Education
- High school diploma or equivalent required.
- Additional coursework or certification in safety, compliance, or transportation is preferred but not required.
Performance Expectations – Safety Documentation and Compliance Support
- Keep safety documentation and files organized, accurate, and up to date at all times.
- Respond promptly to document requests and safety-related inquiries from staff and leadership.
- Support initiatives to enhance workplace safety culture.
- Assist in meeting all regulatory requirements for safety record-keeping and reporting.
